Choices for Preparing a Mailing
Preparing a mailing involves plenty of decision-making that will affect time, cost, and appearance of your project. Tell us your choices about the following:
- Mailing class (first class, standard, or nonprofit)
- Discount (automated or pre-sorted)
- Dimensions of the piece
Standard postcard (from 3 ½” X 5” to 4 ½” X 6”) Letter (from 3 ½" X 5” to 6 1/8” to 11 ½”—envelope, single card, small booklet) Flat (from 6 1/8” X 11 ½” to 12” X 15”—no more than ¾” thick)
- Weight (to the nearest 0.01 ounce)
- Database format (Excel 2003, Excel Vista, or Access, tab or comma delimited)
- Criteria for de-duping the mailing list
- Criteria for international mailing addresses
- Stamp choice—pre-canceled, live (and the specific design that you’ve chosen), or indicia
- Your expected “in-home” delivery date (especially for announcing dated events)
Your account rep can help guide you through these choices. Once you’ve made your decisions, please provide:
- A hard copy or PDF of the mailing side
- A completed NCOA (National Change of Address) form is required for all First Class Discounted mail and will be required by the USPS for all mail after Nov. 23, 2008, to reduce undelivered mail
